What To Expect

It is important to us that our patients know they can expect when visiting our office for the first time.

Our Commitment

We are committed to keeping you informed in advance of your appointment, treatment options, and financial arrangements. We will work with you to plan appointments that accommodate your schedule. If our office cancels your appointment with less than 48-hours notice, you are entitled to 5% off your next visit (inclement weather excluded). Occasionally procedures run longer than planned. If we are unable to seat you within 20 minutes of your appointed time, you may reschedule or receive a $25 credit to your account. We commit to respecting your finances as much as your health. If we over bill your account, we will correct the mistake and add an additional $25 credit to your account. We commit to notifying you of treatment options and financial investment in advance, including any impact to the financial arrangements if treatment plans change. If we do not notify you in advance, the financial difference between your original treatment plan and the revised one will be at no charge to you. We keep all your dental records and health information strictly confidential. If you need your diagnostic records transferred, we will gladly send or make them available for pick up on the day of your request at no charge.

Expectations For Your First Visit

Thank you for choosing our office! Your first experience in our office will be something special, as you are special to us. When you arrive you will be welcomed by one of our amazing administrative team members. You will be offered a tour of our practice and you will receive a special gift. You will be seated in our lovely reception area that has water, coffee, tea and hot cocoa. We offer free Wi-Fi while you wait for the start of your appointment. One of our wonderful clinical team members will escort you to one of our comfortable clinical rooms. We have a comfort menu to make your stay with us even more enjoyable. If you need anything during your appointment please do not hesitate to ask. Everyone is here to make your visit the best you have ever had. Appointment Length

The length of your appointment may vary depending on the appointment type. Typically, our new patient adult appointments are 90 minutes and children under the age of 13 are 60 minutes or less. An emergency visit normally will last 60 minutes. Use our convenient online scheduling tool to find an appointment that works best for your schedule.

New Patient Paperwork

For your convenience, the new patient paperwork will be sent to your email and can also be accessed online. We ask that you fill out the online paperwork 24 to 48 hours prior to your appointment to gives us a chance to place you in our system and verify any insurance you might have. We understand life gets in the way sometimes, so if you are unable to complete your paperwork online, please arrive at least 30 mins before your appointment so we may greet you, give you a tour of our office and allow enough time for you to fill out your paperwork. Please bring your insurance information with you. If we are unable to verify your insurance we do require payment in full at the time services are rendered. We will file your insurance for you and your insurance company will reimburse you directly.

Transitioning from Another Office

After you make your appointment you will receive an email with a link to our new patient paperwork, which includes a records release section. You simply fill out the information requested and sign the form. We will be in touch with your other office to request your most current x-rays.

Children Visits

Starting dental care at an early age is very important for long term success as an adult. We see children as young as 18 months for a Happy Tooth visit. Parking

At our 1149 Kildaire Farm Road location, our parking lot is conveniently located just behind the building. Please pull into Brady Court and you will see it on the right. A handicap parking space is reserved for anyone that might need it. It’s located on the side of the building when you first pull in. If you need assistance coming to our building, please call ahead and one of our wonderful team members will gladly meet you outside. At our 915 Kildair Farm Road location, parking is located directly in front of the office.

Late Appointments

We know that sometimes unforeseen things happen to cause all of us to run late for appointments and we certainly understand this. So if you find yourself in this situation please give our office a call as soon as possible to let us know. Once you arrive, the situation can be elevated and one of two things can happen:

  • Provide you the services in the amount of time that is left in your appointment
  • If we are unable to see you we will find another time that will work best for you

Cary Family Dental prides itself for running on time and we are committed to providing this service. If we do not seat you within 20 minutes of your appointed time, you may reschedule and receive a $25 credit on your account.

Collecting Deposits & Credit Card Information

Any appointments 90 minutes or longer do require a $50 deposit per hour. More extensive cases may require a 50% deposit to reserve your appointment. The reason we ask for deposits is to reserve your committed appointment. These appointments are reserved just for you. We understand that life happens and you may be unable to make the reserved appointment. We will waive it for the first missed appointment; however, any future missed appointments the deposit will be forfeited.

We require a credit card for unseen balances after insurance pays for each of your visits. We provide estimates only for each procedure and truly do not know the exact amount of reimbursement we will receive from your insurance plan. We no longer do billing for balances less than $100. The card you have chosen to leave on file will be automatically run for these types of balances. We offer 3% and 5% savings for all visits paid in full at the time services are rendered. We will file your visit to your insurance company and they will reimburse you directly. The safety of all of your personal information is of the utmost importance to us. All credit cards are secure with our password protected software.

In order to help us process your payment in a faster and more secure fashion, we have officially transitioned to a cashless practice. Please note we will accept all other forms of payment, including check, debit or credit card.

Saturday Appointments

For your convineince, we are open almost every Saturday throughout the year from 8am to 3pm. As insurance companies are typically closed on Saturdays, it is very important to fill out your new patient online formas 24 to 48 hours in advance of your appointment. This will allow us to verift your insurance coverage before your visit. If you are unable to fill out the forms before your scheduled appointment and we are unable to verify your insurance coverage, we ask that your first visit be paid in full at the time services are rendered. We will file your claim for you and your insurance will reimburse you directly.

When making your Saturday appointment, please be committed to this appointment as Saturdays are a very popular time to book. We have patients waiting for these treasured appointments each week. We understand that you may be unable to keep your appointment. If an emergency arises, please call our office as soon as possible so we can offer your appointment to another patient. If you cancel or reschedule in less than 48 hours, you may be subject to our cancellation guidelines.
